Updating Your Progress on the One Page Business Plan

Update the plan by going online to www.MyOnePagePlan.comOnce there enter the company name “byu08” where requested in the lower right corner.
On the next page enter our username “(see Joel’s November 15 e-mail)” and our password “(see Joel’s November 15 e-mail)”.
This will take you to the Get Started Page. Just select the “Get Started” button.You are now looking at our One Page Business Plan.

ANNOUNCING OUR ACCOUNTABILITY TOOLS TO MEASURE THE ACHIEVEMENT OF OUR OBJECTIVES AND THE PROGRESS OF OUR ACTION PLANS.I have not shown you the accountability tools that make the One Page Business Plan such a great tool for plan execution. I wanted to do things one step at a time. Now that the plan is complete, I think it’s time for these tools.
There are two types of accountability tools. First Tool
SCORECARDS measure each of our objectives by using a simple spreadsheet. Go to any of the objectives and select the blue dot or bullet directly to the left of the objective. When you click on that dot the scorecard for that objective pops up. Note the title of the scorecard and its unit of measurement. Note that the scorecard is a monthly spreadsheet for the entire year starting in November 2007. I programmed each scorecard to being in November so we could start capturing our progress right away. And it sort of corresponds to when we have our annual face to face meeting in Provo.
Right now the spread sheets are empty. So, who is going to fill them out? The answer? The champion for each individual objective. Yes, this means that I am giving you permission to touch the plan by entering the necessary data in the scorecard AS LONG AS YOU’RE THE CHAMPION OF THAT SCORECARD.
As a champion you’ll need to initially fill in the data needed right up front like the “budget” and the “last year” columns. You’ll need to update the actuals column of your scorecard each and every month. When we have our monthly conference call we’ll look at each scorecard to see how things are coming along so you’ll want to be sure to have yours updated so you don’ t look like a schmuck in front of your fellow steering committee members. I call that positive peer pressure – it works with all my clients JHow to edit or update a scorecard:
- Open the scorecard by clicking on the blue dot to the left of the objective.
- Select the “edit” box.
- Add numbers in the appropriate boxes on the spreadsheet.
- Hit ‘save” Always hit SAVE when you’re done.
- If you’d like to add a comment to explain the current month’s score, select “add/edit comment” while you are in edit mode. Again, be sure to hit save when you’re done.
How Scorecards are Organized:
There are four horizontal columns for each spreadsheet. They are labeled Actual, Budget, Forecast and Las Year. Actual is the actual monthly result for our present year. Budget is our goal for the year. If our goal is $400K in scholarships we must show by month how much we will raise in order to hit our year end goal of $400K. We in essence need to budget by month how this goal will be accomplished. Forecast is to give us a month or two month look into the future as to what we expect to produce toward the goal. Last year is simply what we raised month by month for scholarships last year. It’s always interesting to compare our actuals this year to what we produced last year.
Each champion should look at his or her scorecards and fill in the columns for budget and for last year. Then, just before our conference call in December they should fill in the actuals for October and November. How you’ll come up with this information I’m not sure. You’ll have to work some of that out with Rixa’s department.
Looking At All Scorecards:
If you want to view all the scorecards for the entire plan one after the other without clicking on each of those blue dots…… All you do is go to the top menu bar and select “Scorecards”. It will then take you to an org chart for all the plans on our site. Click on the “Steer Com” box and up will appear all the scorecards one after the other for our plan. Same can be done for Progress Report; our second accountability tool.
Second Tool
PROGRESS REPORTS give us the status of any action plan. Go to any action plan and click on the blue dot or bullet directly to the left of that action plan. Up will appear a progress report. It tells you two things. One, the percentage of the project that has been completed and two, the current status and next steps planned for the project.
If you are a champion you will update your progress report every month by selecting “Add A Report” Just follow the simple prompts and of course HIT SAVE!!!
The champions for each action plan should take a moment and add a report for where things are at the moment. And then prior to our next conference call add another report telling us the percent completed along with a status report and list of next steps.
